What would be the best solution for us?

We are 3 people in the company and we are about to change over to SBS 2003.
Our ISP will start sending all our mails to Exchange (they are going to change the MX record or something).
In the past we have used IMAP and Outlook Express.

At the moment all e-mails (user1@ user2@ user3@) are forwarded to info@.
This is important as all users need to see what mails are coming in. Under info@ we have 10 folders to sort the mail once they have been dealt with. The reason why we have liked IMAP is because if I deal with an e-mail and move
it, for example, to “quote requests” all users know that it has been moved and dealt with.
All users can reply on behalf of another user using any of the 4 e-mail address we have; user1@ user2@ user3@ info@

So we all share 1 Inbox and all maintain it by moving e-mails to the sub-folders once we have dealt with it even though we all have different e-mail address.

If I need to check an “quote request” that my colleague has handled I can just check in the “quote request” folder.

The only downside to using IMAP is that every time we move a mail to a different folder it has to be downloaded again and a lot of the mails we receive are quite big.

How would we implement this, or a similar set-up, using Exchange and Outlook 2003??

I am a complete beginner so simple instructions would be very much appreciated.

Hi Richi,

Using SBS2003, you can share users mailboxes.
Full Outlook 2003 licences are also supplied with SBS2003 for use with SBS2003
You can setup public folders in exchange 2003 also, which all or a select few can have access to.
Send on behalf permissions can be granted to the users.

Basically you would want SBS2003 setup with 4 users:
user1,user2,user3,info

Set permissions on each mailbox through Active Directory allowing each user to access the other users, In outlook setting up the user with their own Outlook and also adding an extra mailbox "info"

To archive your emails, you can archive within the info mailbox or setup the heirachy in public folders which all users have access to.

Remote access to all of this is also possible enabling you to work from home or just about anywhere.
