Now that we have brought our email in house we no longer use Outlook (terminal server) for in house email and Entourage (Mac) for external email.  This has been great except the shareholder attorneys in the firm want to be able to have their legal assistants check their email for client related communications and they want to continue to send sensitive email to each other that nobody else will be able to see.    The solution one of them came up with is to have me create a second identity for each one of them that they could log into to check their "special" email.  I am willing to do this but frankly I think for some of them this will work one time before they decide it is a hassle to switch identities in order to read one or two emails.

Does anyone know of any other way to accomplish this with any combination of SBS2K3, Outlook 2003, Entourage 2004 or Apple's mail program.  Protected public folders won't work because if someone is sitting at the computer then they could access those folders even if they did not have permission from their desk.  The attorneys give their legal assistants their passwords so they can check for client email if they are out of the office.  They do not like the idea of attaching password protected documents because it is too cumbersome.  There may be other features of Exchange that I am not aware of can solve this problem for me.

Any thoughts or ideas would be great.

Sounds like there isnt much options, I would have suggested password protected documents while using S/MIME to encrypt them.

If the Legal Assistants have there passwords then anything done with Exchange is pointless as the Assistant can log into that account anytime and read all the emails.

Kevin, thanks for your thoughts.  I suggested password protected documents but they were not interested (too much work).  I also made the same point as you that if they give access to their email, then it is complete access.

What I have  done and what we are trying out is our Macs support fast user switching so I created a separate account for each shareholder in active directory and a separate identity on their iMac.  Fast switching allows you to switch identities but leave all programs running so it is really quick and painless to go back and forth.  I think it will be a good solution but don't think it would work well on a PC as logging in and out would not be as quick.   Their second computer identity is password protected and not to be given out to their legal assistants.
