Good Morning,
 
my sbs admininistrator (it is me) seems to send emails to external recipients, see enclosed PDF*.
 
The administrator account is not supposed to send mails to accounts not inthe sbs domain. I Have added the account aministrator via email accounts > change >advanced >add. This adds an account to the inbox but not to the outbox.
 
How can I get information about who this mail is send to and what is its content ?
How can I stop this ?

The admin sends in 2 weeks 181 mails, 43 intern and the rest extern.

You can use IMF if you are retrieving email with SMTP. Have you checked the 'Filter AD recipients' box in the properties of the Global Settings in ESM?

Hi Marina,

I use POP.

There is no entry in Filter AD recipients box. Checked is the bottom line " filter recipients that are not in the box".

My book on the SBS advices not to install outlook on the SBS. Are you of the same opinion ?
Otherwise I would see whatever happens on the administrator account.

You should never install Outlook on the SBS server. You can use OWA if you need to check the admin email, but a better option would be to use a workstation.

Good Morning Marina,

I register as administrator on a client and open outlook. There are no mails in the send box, as it should be. If I now send a mail to an external recipient it is registered in the send box, as it should be.

But in the Server Use Report on the SBS there are 49 external mails. What happens to fault reports to Microsoft and other vendors ?
They are external mails but are also not registered in the administrator send box.

I am sure, everybody wants to know to whom the server sends mails and have a list of it.
Any utility or Add on to solve this problem ?
Do you have this problem on your servers ?
I virus scaned the SBS and Exchange and it is clean.

it sounds as though these messages are being sent from 'system administrator' which is slightly different from the actual administrator account.

from what i understand 'system administrator' is a generic name for the exchange server sending out an NDR report. rather than it come from yourserver.domain.local it uses system administrator, some systems use Postmaster.
you can reduce the amount of NDR's created by your server by using sender ID filtering.

in exchange system manager, expand global settings, right click message delivery and go to properties, go to sender ID filtering tab, click the option to REJECT and make the sending party responsible for the NDR. apply that and close.

the SBS Report of today says:

121 Mails send by the administrator
121 Mails sent to internal recipients
70 Mails sent to external recipients.

Poor Math ?

If I login as administrator and check my inbox I have about 100 messages of this sort:

If a spam-mailer mails to me with the option "confirm mail has reached the destination" he will get an answer, as shown above, from my SBS, right ?

There is an Option to filter all recipients that are not in the Table ( Verzeichnis). I could add my valid adresses there. Is this recomended ?
